Refund Policy

At Kerala Association of Poland (KAP), we strive to provide the best experience and services to our community members and well-wishers. This Refund Policy outlines our approach to refunds for different types of transactions on our website. Events

Krakow Malayalees, as a chapter of Kerala Association of Poland (KAP), organizes private events for community members and well-wishers. The cost of these events is divided among the participants, and a nominal amount per person is collected prior to the event. Please note that payments made for event registrations are non-refundable, unless there are exceptional circumstances.

In the event of payment disputes or overpayments, the organizing committee will individually analyze the matter to determine if a refund is appropriate. The analysis process may include the following steps:

a. Review of Payment Details: The organizing committee will review the payment details provided by the participant, including transaction records, payment confirmation, and any relevant supporting documentation.

b. Verification of Overpayment: If an overpayment is claimed, the organizing committee will verify the claimed overpayment amount by comparing it to the actual cost of the event and the participant's payment history.

c. Assessment of Exceptional Circumstances: If a participant requests a refund due to exceptional circumstances, such as unforeseen personal emergencies or event cancellation, the organizing committee will carefully consider the circumstances and the impact on the participant's ability to attend the event.

d. Deduction of Payment Gateway Service Charges: If a refund is approved, the organizing committee will deduct any applicable payment gateway service charges from the refund amount. The specific terms and conditions of the stripe.com payment service provider will apply in this regard.

Please note that while the organizing committee will make every effort to address payment disputes and overpayments fairly, a refund is not guaranteed. The final decision regarding refunds will be at the discretion of the organizing committee, taking into account the circumstances and available funds.

Products

As a non-profit organization, Kerala Association of Poland (KAP) does not engage in direct product sales or eCommerce-related activities on our website. While different commercial products may be used during KAP events for various purposes, it is important to note that KAP does not endorse or favor any particular product. Any use of commercial products during our events is purely for operational or convenience purposes and does not imply an endorsement, partnership, or affiliation with the product manufacturer or supplier.

Please be aware that any products mentioned, displayed, or utilized during KAP events are solely for the benefit and convenience of the participants and attendees. KAP does not assume responsibility for the quality, functionality, performance, or any issues arising from the use of these products. Participants and attendees are encouraged to exercise their own discretion and judgment when interacting with or using these products.

While KAP strives to ensure a positive and satisfactory experience for all participants, any concerns, complaints, or disputes related to the commercial products used during KAP events should be directed to the respective product manufacturer or supplier. KAP will not be held liable for any product-related issues, including but not limited to product defects, warranties, returns, or refunds.

It is important to understand that any transactions or interactions related to commercial products, whether initiated during KAP events or through external links or references on our website, are conducted solely between the participant or attendee and the respective product manufacturer or supplier. KAP does not participate in these transactions, and any financial or contractual agreements are the responsibility of the parties involved.

We strongly recommend that participants and attendees carefully review the terms, conditions, warranties, and refund policies provided by the product manufacturer or supplier before engaging in any transactions or making any purchases. Any refunds, returns, or exchanges for products purchased directly from the product manufacturer or supplier will be subject to their individual refund policies, and KAP will not be involved in such processes.

Donations

At Kerala Association of Poland (KAP), we greatly appreciate the generosity of our community members who wish to support our organization through donations. Krakow Malayalees, under Kerala Association of Poland, gratefully accepts donations from community members to meet various expenses.

3.1 Acceptance of Donations

3.1.1 Types of Donations: KAP accepts monetary donations from community members to meet various expenses related to our activities and initiatives. These expenses may include organizing events, community programs, administrative costs, and other initiatives that support the welfare of the community.

3.1.2 Non-Profit Status: KAP is a non-profit organization, and donations made to us are considered charitable contributions. As such, KAP is not engaged in commercial activities or the provision of goods or services in exchange for donations. Donations are voluntary acts of support for our organization's mission and goals.

3.1.3 Donation Channels: KAP accepts donations primarily through our website. Donors can contribute by following the designated donation process and providing the required information.

3.2 Donation Process and Usage

3.2.1 Donation Allocation: The donations received by KAP are allocated toward our various initiatives and expenses as determined by our organizational priorities and needs. We aim to utilize the funds in a manner that aligns with our mission of promoting cultural, social, and educational activities within the community.

3.2.2 Krakow Expense Fund: KAP offers the option for community members to donate specifically to the Krakow Expense Fund. This fund is dedicated to meeting the expenses associated with organizing events, programs, and initiatives in the Krakow region. Donations made to the Krakow Expense Fund are non-refundable, as they are considered contributions toward supporting the community activities in that area.

3.2.3 Loyalty Points: When community members donate to the Krakow Expense Fund, they will be assigned an equivalent value of Loyalty Points. These Loyalty Points serve as a form of recognition and appreciation for the member's generosity. The Loyalty Points can be redeemed in the future for event ticket purchases, providing an additional benefit to the member.

3.3 Refunds and Cancellations

3.3.1 Non-Refundable Donations: Donations made to KAP are non-refundable. Once a donation is made, it is considered a voluntary contribution to support our organization's activities and cannot be refunded or reversed.

3.3.2 Cancellation of Donations: While donations cannot be cancelled or reversed, if a community member has made an accidental or duplicate donation, they should contact us immediately at krakowmalayalees@gmail.com . We will review the situation and determine if any corrective action can be taken, based on the circumstances and feasibility.

3.4 Transparency and Accountability

3.4.1 Financial Reporting: KAP is committed to maintaining transparency and accountability regarding the utilization of donated funds. We undertake regular financial reporting and ensure that donations are used efficiently and in line with our organizational objectives.

Subscriptions

At Kerala Association of Poland (KAP), we offer subscriptions to provide additional benefits and privileges to our community members.

4. 1 Subscription Schema

4.1.1 Founding Members: Currently, KAP offers subscriptions exclusively to founding members. Founding members are individuals who have played a significant role in the establishment and early development of KAP. The specific benefits associated with these subscriptions are still under discussion and have not yet been finalized.

4.1.2 Benefits: The benefits offered to founding members through their subscriptions may include exclusive access to certain events, priority registration, discounted ticket prices, special recognition, or other privileges that enhance their engagement with KAP.

4.1.3 Future Programs: The details of the subscription programs, including the specific benefits and eligibility criteria, are still being developed. Once finalized, the subscription programs will be communicated to the founding members and the broader community.

4.2 Refund Policy for Subscriptions

4.2.1 Non-Refundable Payments: Payments made for subscriptions are non-refundable. The subscription fees contribute to supporting KAP's activities, infrastructure, and initiatives.

4.2.2 Benefits and Entitlements: While the specific benefits and entitlements for founding members are yet to be finalized, it is important to note that the subscription fee is not refundable even if certain benefits or programs associated with the subscription are modified, changed, or discontinued in the future.

4.2.3 Future Program Updates: KAP is committed to providing ongoing value and benefits to founding members through the subscription programs. As the programs are further developed, any updates or modifications will be communicated to founding members to ensure transparency and clarity regarding their subscription benefits.
